Terms & Conditions

All visitors who wish to visit Peru and want to book a place and be sure of the package they want should have carefully read and of course make sure they understand the Terms and Conditions that follow below.

Your contract is with the Machu Picchu Fest travel agency company, based in Cusco, Peru.

or email info@machupicchufest.com  or our contact form. A valid passport is required for all travelers. Your passport must be valid for at least 6 months after your return date.

Please read the following terms carefully       

              

These terms will apply to your booking confirmation and form part of your agreement. You agree on behalf of the person responsible for signing the ticket reservation, as well as everyone named on the reservation, including minors of their age and persons with disabilities, that you will be bound by these terms and conditions. There will be a relevant contract when we accept your final booking and issue you our confirmation invoice or email. At this point an agreement between the Company and the Customer comes into force. The person or persons named in the booking will hereafter be referred to as the “Customer”. The contract and all matters arising therefrom shall be governed by Peruvian law and subject to the exclusive jurisdiction of the Peruvian courts. All correspondence will be sent to the primary passenger on the booking unless otherwise notified. You must be over 18 to book a holiday with our travel agency – Machu Picchu Fest.

Payment Terms 

We accept payments by: credit card Visa (please note there is a 6% service fee), e-transfer, Certified Cheque or Western Union. Please contact us directly when you’re ready to pay and we will send you specific payment details based on which option you choose. 

The lead trip organizer (Client) will be responsible for collecting payment from the interested parties who want to travel in this group. The organizer will pay Machu Picchu Fest directly, on behalf of the entire group. Our office prefers to coordinate only with the person in charge of the group 

  • The office must be paid 50% three months (90 Days) prior to departure for all bookings and the remaining 50% 45 days prior to final departure for the trip. Please read the Terms & Conditions of the Machu Picchu Fest travel agency for further details.

The services and bookings you can expect to receive are exactly as what has been written in the aligned upon itinerary that has been sent through.  

 

We are not responsible for international air tickets. The exception is domestic flights, which will depend on the package you have chosen. 

 

Changes and Cancellations

Any changes requested by the Client after bookings have been confirmed may be subject to additional fees, depending on the service providers’ (i.e. hotels, local transportation etc.) terms. Cancellation policies of individual service providers will apply.

 

The Client agrees to pay any cancellation fees incurred from service providers. Cancellation terms are as follows, from the date of booking to:

  • 75 days before departure 20% of the total fare
  • 55 days in advance 35% of the total price
  • 44 days before 50% of the total invoice
  • 35 days in advance No Refund

Flights & Airlines 

 

We have no control over international or domestic carriers and routes may change or flights be delayed without our responsibility. We will do our best to ensure the smooth flow of all your transport connections, but it is your responsibility to check and reconfirm exact flight times. Flights can be rescheduled at short notice. Machu Picchu Fest is not responsible for the consequences of missed flights due to the customer’s failure to reconfirm. Get more information from your ticketing travel agent who should know what flights you will be taking and exactly what time you should be at the departure point of the group.

Flying to Latin America involves long flights and may require changes at other airports. It is your responsibility to arrive at the departure airport on time (2 to 3 hours for international flights and 2 to 1 hours for domestic flights within Peru) Any replacement air arrangements and air tickets will be the sole responsibility of the passenger.

 

Travel insurance is strongly recommended.

By purchasing this tour package, you accept and understand that this booking does not automatically include travel insurance. Your travel investment is important to us. We strongly recommend that you protect your investment by taking advantage of the comprehensive Machu Picchu Fest Trip Cancellation and Interruption coverage 60 days prior to the closure of hotels, domestic flights, tour guides, etc.

Travel insurance provides protection to the traveler in case the trip is canceled due to specific circumstances (for specific circumstances / exclusions, please contact your Machu Picchu Fest specialist for a detailed insurance brochure. Travel Insurance also protects in case of more medical emergencies and in some cases, pre-existing conditions. Some other benefits may include legal assistance, emergency medical evacuation, and assistance in replacing the travel document and ticket

Passenger Information:

Passengers are responsible for ensuring that Machu Picchu Fest has the correctly spelled name as it appears on travel documents, address, telephone and email details for all passengers.

The names on the invoice must exactly match the first and last name on your passport.

Travel document

The customer must be in possession of a valid passport and all visas required for the entire trip and the customer accepts responsibility for obtaining them. Any information or advice given by the company about visas, vaccinations, climate, clothing, luggage, special equipment, etc. given in good faith but without liability of the company.

We will purchase your Inca Trail trekking permit using the passport numbers you send us with your trek booking application. You must bring these same passports with you to Cusco and take them on the Inca Trail. If the number in your passport is different from the trekking permit number, the government authorities will not allow you to start the trek and you will not be entitled to a refund.

If a customer is claiming a student discount then they must bring a valid International Student Identity Card (ISIC) on the journey. The card will be checked at the start of the route by government officials and failure to provide a valid ticket will prevent entry to the Inca Trail and no refund will be offered. Customers will not be able to pay the difference between a student and standard travel permit as government regulations prohibit this. Failure to present the required travel documents will be treated as cancellation of the trip by the customer. Government regulations do not offer the ability to purchase a new trekking permit using a new passport number, even at full price.

Inca Trail

For those who wish to walk the Inca trails you should know something very important, that the permits are not transferable to another name, the money is not refunded and the dates do not change because the people who enter the Inca trails and the customer names are on the list and do not change.

Something very important:

Machu Picchu Fest will not be responsible for passengers who do not receive an invoice or documents due to inaccurate information.

Documents:                                                                                                      Provided full payment is received no later than your final payment, documents will be sent 60 – 45 days prior to departure by regular post.

Stay at a hotel:

It will be provided according to the itinerary. We reserve the right to make substitutions with hotels of equal standard. There will be no refund for any difference in the cost of these accommodations. All rooms are Standard rooms with two double beds and private facilities, unless you have specifically requested and paid for an upgraded room category. All our hotels are 3.5 or 4 stars with breakfast included. Special requests such as bed types, smoking preferences and connecting rooms are subject to hotel availability. The selection of rooms in all cases, unless otherwise booked, is strictly at the discretion of the hotel management, based on which guests are allowed to enter the rooms.

Travelers traveling alone

It is an extra charge that you can see in every different package of your trip except Amazon (Puerto Maldonado) where they have to share a room with other guests due to room reservations.

Public holidays:

Tour dates include but are not limited to religious holidays and national celebrations, some monuments and sites may be closed. In these cases, tour itineraries may be modified to reflect these closures.

Travel insurance:

It is the customer’s responsibility to obtain adequate personal travel insurance. The customer is willing to accept full liability for insurance up to such limits as the customer may require. This insurance must cover personal accident, medical expenses, air ambulance, loss of impact, repatriation expenses and all other expenses that may arise as a result of loss, damage, delay injury or inconvenience to the customer. All customers must have personal travel insurance. When obtaining travel insurance, the customer must ensure that the insurer is aware of the type of trip he is going to undertake.

Train to Machu Picchu

Train tickets are non-refundable and non-changeable. Train tickets will usually be booked for morning to afternoon departures, subject to availability. For passengers traveling independently, requests for alternative times will be considered but are strictly subject to availability. Passengers traveling in a group cannot request alternative train times. Once issued, train tickets are valid for the specified dates and times. Some exchanges must be made locally at the station due to fare restrictions. Changes may be subject to local fees, charges and fare increases.  We do not control seat assignments which are solely at the discretion of the railway companies. Once issued, train tickets are fully non-refundable and non-exchangeable.

Altitude in Lima: 161m (528 ft)

Altitude in Cusco, 3,400 m (11,155 ft)

Altitude in Urubamba, Sacred Valley: 2,870m (9,420 ft)

Altitude in Ollantaytambo, Sacred Valley: 2,792m (9,160 ft)

Altitude in Pisac, Sacred Valley: 2,972m (9,751 ft)

Altitude in Calca, Sacred Valley: 2,926m (9,600 ft)

Altitude in Puno: 3,827 meters (12,555 feet).

Altitude in Lake Titicaca: 3,812 meters (12506 feet).

Altitude in Rainbow Mountain, 5,200 m (17,060 ft).

Altitude sickness symptoms

The first signs of altitude sickness are most often:

  • Inability to sleep (insomnia)
  •  Altitude sickness can cause vomiting and feeling sick 
  • To become lethargic.
    • Loss of appetite 
    • Dizziness
  • Lack of coordination and a general lack of ability to do as you normally would (eg climbing stairs becomes significantly more difficult). 
  • If you suffer from the above, just let your body adjust to the altitude. You can check the treatment section for more information on speeding up the adjustment process.

Prevention of altitude sickness in Peru or Bolivia

There are several ways to prevent altitude sickness. Some of the best include:

  • Do not eat heavy meals before or after reaching altitude.
  • Avoiding alcohol or other toxins before and after traveling at altitude.   
  • Stay well hydrated with water and electrolyte drinks
  • Sleep well and stay rested
  • Gradual acclimatization – staying somewhere at a lower altitude and building up to your final destination.
  • In Peru, this would be staying in the Sacred Valley before returning to Cusco. Take it easy the first two days at altitude 
  • If you take all these precautions and still feel sick with altitude sickness, then you may need to take some medication.

Medicines for altitude sickness in Peru

Particularly in Peru, there are many natural remedies to choose from that have been sworn by for centuries. Likewise, there are many pharmaceutical options for people who prefer this route. When it comes to medication for altitude sickness, it’s up to the person taking it to decide what they feel comfortable with.

Natural Remedies for Altitude Sickness in Peru

Peru has more than its share of natural remedies for altitude sickness. From herbs to teas and everything in between, below are some of the most common natural remedies for altitude sickness in Peru. The information will be provided by our tour guide in Cusco or La Paz, Bolivia

Coca leaves

The most common of these remedies is coca leaves. Coca leaves are the plant that can eventually be turned into cocaine if heavily processed. It has been used by indigenous people in Peru and Bolivia for centuries to help combat the effects of altitude, and if you visit indigenous communities, you’re likely to see locals with their cheeks stuffed with coca leaves.

Start on tour

At all times, the decision of the guide or company representative will be final on all matters that may endanger the safety and well-being of the tour group. The customer must, at all times, strictly comply with Peru’s laws, customs, foreign exchange and drug regulations.

In the event that the client fails to comply with the above or if the client interferes with the welfare of the group, then the tour guide or company representative may order the client to leave the tour without recourse to any refund.

Family tours

The following terms and conditions will only apply if you book or travel on family tours with Machu Picchu Fest.

Family Tour Requirements:

To book a tour designated as a “Family Tour” by the travel agent, you must be traveling as part of a “Family Unit”. A “Family Unit” is a group of six or more people traveling and booking together where at least two or three people are minors under the care of at least one accompanying adult. A minor may be accompanied by one or more adults to be considered a family unit. This also applies to team groups, schools, athletes, families in one team.

Machu Picchu Fest reserves the right to cancel the reservation of anyone traveling or planning to travel on a Family Tour who, in Machu Picchu Fest’s sole discretion, does not properly constitute a Family Unit under this section or otherwise does not meet the requirements to participate in a family tour.

International Airlines: A Serious Reminder for Your Benefit!!!

Once issued, tickets are non-refundable. Airline routes and flights are subject to change without notice. Machu Picchu Fest is not responsible for ticket penalties. These are on your own initiative and our company Machu Picchu Fest bears no responsibility because the international ones
